Job Description:

The Travel & Customer Service Coordinator is the key point of contact for clinical trial participant communications in the management of all participant travel, logistical details, and expense reimbursements. They are responsible for supporting the team of clinical trial project managers by keeping tracking of and keeping records of participant information.

  • Please note: This is a part-time, contract opportunity


  • Participates in discussions with clients, vendors and team members regarding patient requirements

  • Acts as point of contact for patient communication regarding air, hotel and ground accommodations

  • Promptly responds to all inquiries of the patients

  • Maintains accurate data including setting up databases and transferring data between internal operating systems

  • Aids in producing reports as required

  • Works with Global Study Manager to outline needs and requests of clients and patients

  • Contributes to managing projects to profitable level through efficient work process


  • Must be bilingual in Japanese and English

  • Must currently reside in Japan

  • Bachelor’s Degree or equivalent work experience

  • 2-5 years of customer service experience required

  • 1-2 years of experience in the travel industry and/or pharma industry preferred

  • Working knowledge of Microsoft Office

  • Ability to learn new procedures quickly and efficiently

  • Highly organized and plan-oriented; adept at prioritization and follow-up

  • Excels in cross-departmental communication

  • Confidence and follow through in decision-making
