The Remote Security Administrative Assistant provides services for a variety of large and small business clients where health, safety and security is our #1 priority. This is a public environment at the BP Building and surrounding areas with the corresponding levels of traffic (employees, visitors, customers, etc.).

Essential Duties and Responsibilities

  • Data entry, invoicing and reconciliation of financial reports and safe audits.

  • Logs, compiles, organizes, processes, and summarizes many different types of data.

  • Prepares reports, correspondence, complies various statistical reports/graphs to support staff, supervisors, or managers.

  • Ensures own actions and those of others observe maximum level of safety and compliance.

  • Notifies on site individuals of visitors wishing to see them.

  • May check heating, lighting, sprinkling, security, ventilations, fire, etc., systems to make sure they are operational.

  • Operates or performs such standard office duties such as producing general office written or electronic correspondence, handling a variety of telephone and office equipment, observing proper procedures to handle records or other materials, etc.

  • Operates in a climate of confidentially requiring discretion.

  • Assists others with overflow work or special projects.

  • Will assist in the preparation of documents in support of the security division.

  • Will play varying roles in supporting or conducting an area's ongoing business or staff meetings.

  • Responsible for order office supplies

  • May utilize specialized computer systems and applications as required by the division.

  • Actively supports and participates in performance improvement activities.

  • May also be combined with other position duties

  • Notify supervisor is safety and sanitation standards are not being met.

  • Other duties that are pertinent to the department or unit's success also may be assigned.

  • This position has no supervisory responsibilities.

Minimum Requirements

  • High school diploma or GED equivalent.

  • Must have at least three (3) years of work experience in a related field.

  • Ability to work independently and complete assignments in a timely manner.

  • Strong communication skills, in both written and verbal forms.

  • Must have intermediate skills in using the following equipment: Calculator, fax machine, multi- line phone, Microsoft Word, Microsoft Excel, Microsoft PowerPoint, copy machine and misc. office equipment.

  • Must be able to cooperate and work as part of a team with fellow employees, customers and clients.

  • Must be able to make decisions in the moment with little to no supervision.

  • Contract requires employees to speak, understand, read and write English.

  • Must meet and adhere to all safety guidelines and regulations set forth by the company and client.

Description of environment: This is a public office environment.

Must constantly be able to stand, walk, climb, push, pull use hands and arms, stoop, kneel and crouch.

Physical requirements: Must be able to lift and move up to 25lbs.
