Facility Services Coordinator

The Department of Licensing (DOL) has a unique opportunity for you to join our team as a Facility Services Coordinator in the Administrative Services Division within the Facility Services Section of the Support Services Unit. As a Facility Services Coordinator, you will support our agency by serving as the primary liaison between DOL employees and property owners/managers of all leased buildings. In this role, you will provide facility expertise in the management and completion of maintenance projects in state-owned and leased buildings. By working closely with facilities planners and contracted vendors, the Facility Services Coordinator plans, and coordinates projects to ensure they meet employee and customer needs while complying with fire safety, building, environmental and construction codes, and regulations. By providing a balance between customer needs and state mandated regulations, the Facility Services Coordinator ensures internal and external customers are provided the appropriate access and space they need to live, work, drive and thrive.

A few things you will be doing:

  • Uses extensive communication skills to interact with customers on issues related to needed repairs and maintenance for facilities.

  • For state owned and leased buildings, the incumbent coordinates, provides estimates, schedules, and monitors interior and exterior building maintenance and construction projects to ensure work is in compliance with all applicable building codes and regulations and complies with lease agreements.

  • Orders and arranges for installation of various items for state-owned buildings to include associated grounds and parking lots.

  • Works with MM3 Resource Manager to request and schedule MM support when needed to complete facilities requests for State owned and leased buildings.

  • Works with contractors and vendors to obtain quotes and schedule technical repairs to state owned/leased facilities.

  • Responds to in person, or arranges for vendor service calls, in emergency and non-emergency issues in Olympia area offices and field offices as appropriate. Examples include HVAC issues, water leaks, door/window issues, plumbing issues, and other environmental issues.

  • Provides ID and entry badges and maintains program updates to the Entre Building Access system for DOL field offices.

  • Serves as the main point of contact for all issues regarding building access, badges, and the Entre Building Access System.

  • Responsible for planning, estimating, and scheduling the installation of security/intrusion systems in all DOL field offices to include monitoring contracts and associated costs.

  • Manages building security contracts for field offices.

  • Backs up the Facility Coordinator with the primary responsibility for managing the Galaxy Building Access System.

  • Provides on-call 24/7 emergency for building systems, building access, and exterior environments in state-owned and leased buildings on a rotating schedule with the other facilities coordinators.

  • When in on-call status, evaluates and implements the appropriate course of action, notifying other Facility staff and the Facilities Assistant Administrator, stakeholders, landlords, and vendors as necessary.

  • Responds to in person, or arranges for vendor service calls, in emergency and non-emergency issues in state-owned and leased buildings as appropriate. Examples include HVAC issues, water leaks, door/window issues, plumbing issues, and other environmental issues.

  • Other duties as assigned.

Required Qualifications:

  • Bachelor’s degree in building construction, industrial engineering, or related field AND two years’ experience planning, scheduling, or coordinating facility maintenance and construction projects OR six years of experience scheduling, tracking, and monitoring projects with multiple tasks and competing deadlines OR A combination of relevant education and experience totaling six years.

  • Three years’ experience using Microsoft Office applications, particularly Outlook, Word, Excel, and SharePoint.

  • Three years’ experience demonstrating the ability to adapt written and verbal communication styles to suit different audiences.

  • Three years’ experience providing support to internal and/or external customers and building relationships with business partners.

  • Basic knowledge of management principles.


Preferred Qualifications and Competencies:

Applicants who also possess the following may receive additional consideration by the hiring manager:

  • Basic knowledge of Organizational Change Management principles.

  • Experience managing keyless building entry systems (card readers).

  • One to three years’ experience with safety team functions related to building maintenance, repairs, and drills.

  • One to three years’ experience reading, interpreting, and designing elements in AutoCAD.
